HOSTED GOLF EXPERIENCES - FOLLOW IN THE FOOTSTEPS OF GREATNESS!
The website westcoastgolf.co.uk is owned and operated by West Coast Golf ("we" or "us"), which has its office at Kype View, Strathaven, South Lanarkshire ML10 6BX. The booking conditions which apply to your booking will vary depending on the details of the Golf Experience you decide to book. A 'Golf Experience' is typically where we book hotel accommodation, transport, golf courses and leisure activities on your behalf and in your name ("hotel" in these booking conditions includes hotels, bed and breakfast accommodation and any other accommodation you may book with us). In arranging these bookings, we will act as an agent for you and arrange for you to enter into a contract with the service provider. Please read the following booking conditions carefully as you will be bound by them. We recommend that you print off a copy and keep them with your booking confirmation. We also recommend you familiarise yourself with our other policies before you finalise your booking with us.
Although all reasonable efforts have been made to ensure the accuracy of the information (including prices) on our website (www.westcoastgolf.co.uk), in quotes, and in our promotional material and printed media, regrettably changes and errors occasionally occur. We will therefore confirm the details of your chosen break (including the price) at the time of booking. We recommend you research hotels that we offer accommodation with and golf courses before your trip, above and beyond any information found on our website, to ensure you are completely happy with whichever service providers you have chosen as part of your Golf Experience.
2. Price and Payment
We reserve the right to alter the price of any Golf Experience, not limited to any pricing error, and we will advise you of the current price of the Golf Experience before your booking is confirmed. Any subsequent reduction in prices due to special offers advertised will not apply to confirmed bookings. A non-refundable deposit which includes our Hosting and Admin fees must be paid at the time of booking. We reserve the right to ask for an additional amount for certain bookings where we need to pre-pay to the service provider an additional sum to secure your booking, in particular where your booking includes transport or golf course green fees. This additional sum may be retained by the service provider in the event of cancellation of service. The balance of the price of your Golf Experience must be paid to the service provider according to your contract with them, and as detailed on your booking confirmation, on the day the service is taken up. In some cases service providers may require full payment in advance of commencement of your Golf Experience, however this will be advised to you at the time of booking.nt, the hotel reserves the right to cancel your booking and retain your deposit paid. The cost of your accommodation does not include any services that you may use or purchase whilst at the accommodation other than those specifically included in the price of your Golf Experience as set out in your booking confirmation. You must pay the hotel directly for such additional services. These may include spa treatments, purchases from pro shops and any meals and drinks not stated to be included in the price of your Golf Experience.
3. Payment methods
Payment of the non-refundable deposit can be made online through our secure customer portal using both debit and credit cards, or over the telephone through our sales and customer service team (MasterCard & Visa only). We also accept direct Paypal transfers. There are no surcharges for using personal debit or credit cards. We take all reasonable care to ensure our website is secure but, unless we have been negligent, we cannot be held liable for any loss you may suffer if a third party procures unauthorised access to any data you provide when accessing our website. By entering your payment details, you confirm that the credit or debit card that is being used is yours or that you have been specifically authorised by the owner of the credit or debit card to use it. All credit and debit card holders are subject to validation checks and authorisation by the card issuer. If your card issuer refuses to authorise payment, we will not be able to process your booking.
4. Booking and Confirmation of Booking
You can initiate a booking for a Golf Experience by either telephoning our Sales office on 07308 083989, sending us an enquiry about a break using our Contact Form or Booking Form, or by emailing us direct to email@example.com. You must be 18 years or over to make a booking and all bookings are subject to availability. If you send us an enquiry about a Golf Experience using our Contact Form or Booking Form, we will acknowledge receipt of your enquiry as soon as possible and then email you with availability and any other details you may require. As soon as the details of your booking have been confirmed and the your non-refundable deposit is paid, we will send you an acknowledgement of receipt of your payment together with a booking reference by email. The booking confirmation will set out full details of your booking and show any remaining balance to be paid to service providers. For all Golf Experiences, whether by telephone, by email or online, a contract between you and us will only exist when we receive payment of the deposit and/or issue the booking confirmation. A contract between you and the service providers will only exist when we issue the booking confirmation. Please check the booking confirmation carefully as soon as you receive it paying special attention to the room type and tee times. Please contact us within 72 hours of receiving the booking confirmation if any information appearing on the confirmation or any other document appears to be incorrect or incomplete, as it may not be possible to make changes later. Please refer to our Booking Information page on the website for further details. Group Bookings: Where your booking is for more than one person, the lead person will be responsible for the entire booking. As lead person you guarantee that you have the authority to accept and do accept on behalf of your party the terms of these Booking Conditions. The lead person will be responsible for making all payments due in accordance with the booking process. The lead person is also responsible for keeping all members of their party informed as to the booking details and informing us in writing of any amendments to or cancellations of the booking.
5. If you have a Complaint
If you have a complaint or experience any problems during your break please inform the service provider concerned as soon as possible, who will endeavour to put things right. If the matter cannot be resolved locally, please contact West Coast Golf by emailing firstname.lastname@example.org allowing us to assist on your behalf. If you fail to follow this procedure, they (and we) will have been deprived of the opportunity to investigate and rectify your complaint whilst you were in situ and this may affect your rights. Alternatively, please email us at email@example.com, giving your booking reference and all other relevant information, within 28 days of returning home.
We consider adequate travel insurance to be essential. You must ensure that any policy you purchase covers as a minimum the cost of cancellation by you. Please note that not all insurance policies intended for travel overseas are adequate to cover you for the Golf Experiences we feature. It is your responsibility to ensure that the insurance cover you purchase is adequate for your particular needs. We do not check insurance policies. Please read your policy details carefully and take them with you on your Golf Experience. We do not accept any liability for any possible loss that you suffer as a result of your failure to take out an adequate insurance policy.
7. Special Requests and Medical Issues
If you have any special requests, you must advise us at the time of booking. Although we will endeavour to pass any reasonable requests on to the relevant service provider, we regret we cannot guarantee any request will be met. Confirmation that a special request has been noted or passed on to the service provider or the inclusion of the special request on your confirmation or any other documentation is not confirmation that the request will be met. Unless and until specifically confirmed, all special requests are subject to availability. If you or any member of your party has any medical issue or disability that may require assistance, please tell us before you book or, if diagnosed after you confirm your booking, as soon as possible after you become aware. If the service provider in question reasonably feels unable to properly accommodate the particular needs of the person concerned, we must reserve the right to decline your booking or, if full details are not given at the time of booking, cancel when we become aware of these details.
We cannot accept liability for any delays due to arrangements you make for air travel or any other transportation not booked with us.
9. Unavoidable and Extraordinary Circumstances
In these booking conditions, "unavoidable and extraordinary circumstances" means a situation beyond the control of the party seeking to rely on such a situation the consequences of which could not have been avoided even if all reasonable measures had been taken. Such events may include, without limitation: war or threat of war, riot, civil strife, actual or threatened terrorist activity, industrial dispute, natural or nuclear disaster, adverse weather conditions, fire, epidemics and pandemics, airspace closures (as well as other air traffic management decisions which may give rise to long or overnight delays or cancellations of one or more flights) and the inability of airline(s) to operate flights as a result of the United Kingdom’s decision to leave the European Union (including the loss or restriction of air traffic or transit rights or the right of airline(s) to enter any airspace).
10. Data Protection
When you make a booking for a Golf Experience, we will need to use your personal data such as name and address to make the travel arrangements for your break and otherwise as necessary to ensure that your booking contract is performed. This will usually require us to pass your personal data on to relevant third party suppliers such as hotels, transport providers, Golf Clubs and other service providers.
11. Governing Law and Jurisdiction
This contract and any dispute, claim or other matter of any description which arises out of or in connection with this contract is governed by and shall be construed in accordance with Scottish law. The Court of Scotland shall have jurisdiction to decide any dispute or claim that arises out of or in connection with this contract. If you are a resident of England, Wales or Northern Ireland, you may choose the law and jurisdiction of England, Wales or Northern Ireland instead.
12. Your Contract with the hotel or other service provider
When you make a booking, we will act as an agent in the booking of your hotel accommodation and any other service requested as part of your Golf Experience. Your contract will be with the service provider.
Any non-payment by you will be dealt with by the service provider whilst you are in situ and may result in your ejection from their premises and/or refusal to provide the service requested. West Coast Golf reserves the right to refuse any future bookings in your name as a result of your non-payment.
13. Amendment or Cancellation by you
If, once the booking confirmation has been issued, you wish to change your booking in any way or cancel your booking, the person who originally booked the break (the lead name) must notify us in writing by email. All amendments are subject to availability and whilst we will do our utmost to make your requested changes, it may not always be possible to fulfil your request.
The hotel or other service provider may charge the cancellation or amendment charge shown in their booking conditions (which may be as much as 100% of the cost of the booking). Please contact firstname.lastname@example.org prior to confirming your break in order to find out your service provider's specific amendment and cancellation policy. In particular, if numbers change so that there is an odd number remaining in the party, single room supplements will apply.
In addition, we may incur losses and costs in amending or cancelling confirmed bookings, particularly if such amendments or cancellations occur close to the departure date, and in these circumstances you will be charged an amendment or cancellation fee reflecting the losses and costs we incur. If you cancel your Golf Experience or the number in your group booking reduces before the departure date, we have the right to retain the deposit paid by (or due from if still outstanding) each person cancelling as a cancellation fee. In addition a separate administration charge may become due.
Note that if the reason for your cancellation is covered under the terms of your personal travel insurance policy (see Section 6), you may be able to reclaim these charges. For more information on cancellations please see our Cancellation Policy prior to booking.
14. Amendment or Cancellation by the Hotel or other Service Provider
In the event of West Coast Golf being informed that an amendment or cancellation by the hotel or other service provider has occurred, we will inform you as soon as reasonably possible. If the hotel or other service provider offers alternative accommodation or tee-off time as applicable, or a refund, whether through West Coast Golf or direct with you, you will need to make your choice within the time frame stipulated by the service provider. If you fail to do so the service provider is entitled to assume you wish to receive a full refund.
15. Amendment or Cancellation by us
Occasionally, we have to make changes to service providers you have chosen both before and/or after bookings have been confirmed as well as cancel confirmed bookings, due to unforeseen circumstances. Whilst we always endeavour to avoid changes and cancellations, we must reserve the right to do so. We undertake to try not to cancel your booking after the non-refundable deposit has been paid, except due to Unavoidable and Extraordinary Circumstances (as defined in Section 9), unforeseen circumstances as above or failure by you to pay the final balance to service providers.
Golf clubs and golf courses may either close the golf course or operate temporary tees and greens at their sole discretion as a result of adverse weather conditions. We accept no liability as a result of service provider decisions to cancel or amend their service after your booking has been confirmed by us.
16. Our Liability to you
Your contract is with the hotel and other service providers, and as such their particular booking conditions apply. As agent, we accept no responsibility for the provision of the accommodation (including all facilities and services) by the hotel or for the provision of any other service booked by you. Our responsibilities are limited to making the booking in line with your instructions. We also do not accept responsibility for any information about the hotel or any other service provider that we pass on to you in good faith. We do not, however, exclude or limit any liability for death or personal injury that arises as a result of our negligence or that of any of our employees whilst acting in the course of their employment.
Information on venues such as eateries and tourist attractions that is published by us serves solely as a suggestion of places to visit during your Golf Experience and as such are not recommendations by West Coast Golf. We are not liable for any negative experience arising as a result of attending any such advertised venue.
17. Conduct whilst on your Golf Experience
We would expect that any customer of West Coast Golf behaves in a suitably respectful manner whilst attending hotels and golf courses, adhering to any rules of conduct laid down by such a venue. The hotel and/or golf course retains the right to eject any customer from their premises without reimbursement who breaches such rules.
Conduct whilst on your Golf Experience which brings West Coast Golf into disrepute will result in being barred from any future booking through us.
Hosting is an integral part of any Golf Experience you book through us. We reserve the right to change Host at any time during your Golf Experience. Please see our About Your Host page for details of what tasks you can reasonably expect your Host to preform.
